Monitor shared drive quota and send alerts
Track shared drive storage usage via API and notify teams before hitting quota limits to avoid work stoppages.
| Who it is for | IT admins managing storage across large numbers of shared drives. |
|---|---|
| APIs | Drive API, Admin SDK |
| Typical scopes | drive, admin.directory.group.readonly |
The problem
Shared drives hitting quota quietly block uploads and break workflows. Manual checks are unreliable and missed warnings result in blocked document creation and file sync errors.
How it works
- Enumerate all shared drives via the Drive API.
- Query each drive's storage usage and total quota.
- Identify drives nearing quota thresholds.
- Map drives to notification targets (owners or groups) using metadata or Admin SDK group lookups.
- Send alerts by email or chat when thresholds are crossed.
What changes
Admins and teams receive timely warnings before shared drives fill up, reducing user disruption and urgent support tickets.
Questions people ask
Can the API show which files are using the most space?
Yes, but only for files the service account can see. Files added by users with restricted visibility won't appear, so totals may not match reported usage.
How often should quota monitoring run?
Every few hours is typical. Running it more frequently does not improve accuracy, as quota metrics are not real-time.

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
