Apply organisation-wide email footer updates via API
Update signatures for all users centrally, ensuring consistent legal and branding text across every mailbox in the domain.
| Who it is for | IT administrators responsible for legal disclaimers or brand consistency in outbound email. |
|---|---|
| APIs | Gmail API, Admin SDK |
| Typical scopes | admin.directory.user, gmail.settings.basic |
The problem
Manual signature management is error-prone and slow, especially in large organisations or when a legal change is urgent. Relying on users to update their own signatures leads to inconsistency and compliance risk.
How it works
- Enumerate all active users using the Admin SDK.
- For each user, authenticate as a delegated service account with appropriate scopes.
- Use the Gmail API to update the send-as signature for each user.
- Log every update attempt, including errors and affected user IDs.
- Optionally, verify changes by reading back updated settings after a delay.
What changes
All users have the correct, centrally managed email footer within hours, with a full audit trail of changes applied.
Questions people ask
Can I update all signatures at once with a single API call?
No, you must update each user's signature individually. There is no bulk endpoint for signatures.
How do I ensure every user actually received the new footer?
Read back the signature setting for each user after a delay to confirm the update. Do not assume a successful API response means the change is visible in the UI immediately.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
