Delegate group membership management via service account

Automate adding, removing, and auditing group members across domains using a service account with domain-wide delegation.

The problem

Manual group membership changes are slow and error-prone, especially across multiple groups and domains. Delegated automation allows consistent, repeatable updates, but the group membership API has quirks that affect reliability.

How it works

  1. Grant domain-wide delegation to a service account for the group membership scope.
  2. List group members and desired membership state using the Admin SDK.
  3. Compare the current state to target state and batch add or remove members as needed.
  4. Log and reconcile changes to ensure consistency.

What changes

Group memberships reflect intended access within minutes, with full auditability, and changes can be driven by external source of truth.

The trap in this one. The Admin SDK’s group membership changes can take several minutes to propagate, but the API will return success immediately. If you read back the group membership right after a change, you may get stale data and trigger duplicate or conflicting operations in automation loops.

Questions people ask

How quickly do membership changes take effect?

The API returns success instantly, but the change can take anywhere from seconds to several minutes to show up in downstream reads or access checks.

Can I use the same service account for multiple domains?

Yes, but you must delegate and authorise the account in each Workspace tenant separately, and impersonate an admin for each domain.

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
