Automate Google Contacts directory updates via delegation
Maintain shared contacts or global address book entries centrally, using a service account to automate additions, updates, and removals across the domain.
| Who it is for | IT administrators responsible for keeping the domain directory and shared contacts current. |
|---|---|
| APIs | Admin SDK |
| Typical scopes | admin.directory.user, admin.directory.customer |
The problem
Manual contact management does not scale, especially when onboarding, offboarding or restructuring teams. Inconsistent entries and stale data frustrate users and break integrations relying on accurate directory information.
How it works
- Grant domain-wide delegation to a service account for the required Admin SDK scopes.
- Use the service account to list, add, update, or delete directory contacts via the Admin SDK.
- Schedule regular syncs or trigger updates from workflow events (e.g., HR system changes).
- Log all changes and reconcile with source-of-truth systems to detect drift.
What changes
Directory changes propagate automatically, reducing manual work and keeping the address book consistent for all users.

Questions people ask
Can I manage personal contacts for individual users?
No. The Admin SDK only allows management of domain-shared (global directory) contacts, not user-level contact lists.
Will changes show up instantly for all users?
Not always—directory updates can take a few minutes to propagate, especially deletions. This is a backend behaviour, not a local client cache issue.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
