Enforce document retention policies across the company
Apply and monitor consistent retention rules to every Drive file using a delegated service account, ensuring compliance and auditability.
| Who it is for | IT governance or compliance teams responsible for legal and regulatory document policy. |
|---|---|
| APIs | Drive API, Admin SDK |
| Typical scopes | drive, admin.directory.user.readonly |
The problem
Manual or user-driven retention decisions lead to inconsistent compliance, with files lingering past policy windows or being deleted prematurely. Central enforcement ensures every file follows the same rules, but relies on robust, automated coverage.
How it works
- Enumerate all active users with the Admin SDK using directory read scope.
- Impersonate each user in turn with the delegated service account.
- List all Drive files for each user and evaluate retention status against policy.
- Apply holds, remove sharing, or delete files as required via the Drive API.
- Log actions and exceptions for audit and reporting.
What changes
Retention policies are actively and provably enforced on every file, with a clear audit trail for compliance checks.
Questions people ask
Does this pattern work for Shared Drives?
Yes, but you must enumerate shared drives separately and process their contents, as user listings do not include these files.
How do you prove compliance?
Log every enforcement action with file ID, user, and timestamp, and retain these logs for audit review.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
