Automate access revocation when a project ends

Remove project-specific Drive and group access at project completion without relying on project managers to remember cleanup.

The problem

When projects end, shared Drives and group memberships persist far past their usefulness, leading to uncontrolled data exposure and audit findings. Manual removal is unreliable and often overlooked.

How it works

  1. Maintain a mapping of users and groups with project-specific access, ideally tagged at grant time.
  2. Trigger revocation based on a project-complete signal from a project tracker or similar system.
  3. Iterate through the mapped permissions, using the Drive API to remove file and folder shares and the Admin SDK to update group memberships.
  4. Log each revocation event for compliance and future review.

What changes

Former project members lose access quickly and consistently, reducing risk and minimising manual intervention.

The trap in this one. Drive API permission removals can silently succeed even if the user or group has already lost access through other means (e.g., group deletion or Drive moved to a different OU). This can cause your logs to show successful revocation when in reality, some access was never properly removed at the intended time. Always cross-check post-action access, not just API response codes.

Questions people ask

Can this revoke access for external partners?

Yes, as long as they were granted access via a group or directly to files/folders. However, external accounts sometimes persist in Drive permissions after group removal, so always check for direct shares.

What if a user is still needed for another project?

Tag access grants by project and only revoke those matching the completed project, rather than blanket-removing all access.

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
