The problem

Manual creation of recurring or structured events leads to inconsistent descriptions, missing conferencing links, and variable attendee lists. This causes confusion and wasted time, especially for onboarding or compliance-driven processes where event content must be standard.

How it works

  1. Define the canonical template for each event type, including description, attendees, location, conferencing, and reminders.
  2. Store templates in code or a managed document for reference by the automation.
  3. Run a scheduled process from a delegated service account to insert events to user calendars as required.
  4. Track created event IDs to avoid duplicate insertion on retries.

What changes

Every scheduled event follows the same structure, with no drifting fields or missing information, and all users receive identical invitations as intended.

The trap in this one. If the automation retries event creation after a network or quota error without tracking event IDs, it creates duplicate calendar events that are indistinguishable to users. The Calendar API's insert operation is not idempotent by default—passing the same parameters will generate a new event each time unless you supply a unique idempotency key (the 'id' field).

Questions people ask

How do I ensure each event is only created once?

Generate and assign a unique event ID for each template instance and supply it in the insert call. This makes repeated calls safe, as the Calendar API will return the existing event if it already exists.

Can I update the template after events are created?

You can update future events by referencing their IDs, but changes will not automatically apply to already-created events unless you explicitly update them.
