Run sentiment analysis on a shared inbox

Use a delegated service account to process all incoming shared mailbox emails for sentiment, flagging trends for the operational team.

The problem

Manually reading every incoming message in a shared inbox is slow and inconsistent, especially as volumes grow. Negative sentiment can go undetected until it escalates.

How it works

  1. Delegate 'gmail.readonly' to a service account with access to the shared mailbox.
  2. Periodically fetch recent messages using the Gmail API, filtering for unread or new threads.
  3. Extract message bodies and run them through a sentiment model or API.
  4. Log or alert on threads with negative or urgent sentiment for team review.

What changes

The team gets early warning of negative trends in the inbox without needing to read every message immediately.

The trap in this one. Gmail API's historyId mechanism is unreliable for shared inboxes if any user interacts with the mailbox between poll intervals: messages can be marked as read, moved, or deleted, causing history gaps or missed deltas. Relying on historyId for incremental sync risks silent data loss—always cross-check with full list queries or use message labels as a secondary checkpoint.

Questions people ask

Can the service account see messages as soon as they arrive?

There is a small delay—Gmail API can lag by several seconds to minutes, especially for high-volume inboxes or if label changes are involved.

Does sentiment analysis work on all message formats?

Multipart or HTML-heavy emails require careful parsing—plain text extraction can miss content or introduce artefacts that skew sentiment scores.
