The problem

Users share files externally, intentionally or not, and Drive’s built-in alerts are too coarse or delayed to catch policy violations in time. Manual review is infeasible at scale, so risky files often go unnoticed or unresolved.

How it works

  1. Run a scheduled scan using a delegated service account across all user Drives and shared drives.
  2. Identify files with sharing settings that violate policy (e.g., anyone with the link, external domains).
  3. Apply remediations such as removing external permissions or restricting link sharing.
  4. Notify the file owner and log all actions for audit.

What changes

Policy violations are detected and remediated automatically, reducing the window of exposure and ensuring consistent application of security controls.

The trap in this one. Drive API’s permission removals are eventually consistent: it can take minutes for permission changes to propagate, and a subsequent scan may falsely report a file as still exposed. Worse, if a file is moved between shared drives during enforcement, permission changes may silently fail or partially apply, leaving data exposed. Always verify post-action state and account for propagation lag in your workflow.
