Send automated compliance policy reminders on a schedule

The problem
Manual reminders are error-prone and easily forgotten, especially across multiple tenants. Scheduled automation guarantees consistency, but delegation introduces quirks in message delivery and auditability.
How it works
- Prepare the reminder template and recipient list in a secure location.
- Use a scheduled job (e.g., Cloud Scheduler) to trigger the automation at the required interval.
- Have the delegated service account impersonate each user and send the message using the Gmail API.
- Log message IDs and delivery status for audit purposes.
What changes
Reminders are sent reliably and on time, with a verifiable record of delivery across all target users.
Questions people ask
Can I send from a generic compliance address via delegation?
Only if that address is a real user or group with mailbox access. Delegation cannot impersonate aliases or groups for sending.
How do I avoid sending to users who have left?
Sync your recipient list with the active users directory immediately before each run; stale lists are a common cause of silent non-delivery.

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
