The problem

Manually assigning and reminding teams about repeat tasks results in missed actions, inconsistent messaging, and tracking headaches, especially when staff rotate or tasks change hands.

How it works

  1. Maintain a list of tasks, assignees and schedules in a central source, such as a Sheet or database.
  2. Have a delegated service account generate and send assignment emails to the right recipients based on the schedule.
  3. Include unique task identifiers in the subject or body for traceability.
  4. Log each send event for auditing and follow-up.
  5. Optionally, use labels or threading to keep responses organised.

What changes

Recurring assignments arrive reliably in inboxes, regardless of calendar invites or chat noise, and the process is auditable.

The trap in this one. Gmail API's send operation can silently drop duplicate messages if the RFC 822 message-id is reused, especially when retries are involved. If you retry a failed send with the same message-id header, some recipients may never see the email, with no error returned. Always generate a new message-id for each send attempt, or let the API assign one.

Questions people ask

Can I send as a generic team address?

Yes, if the service account is delegated to that address and 'send as' is configured. Otherwise, it will send as the impersonated user.

How do I avoid recipients missing emails due to spam filtering?

Ensure consistent formatting, avoid spammy content, and consider using SPF/DKIM for the sending address. However, this is a separate concern from the API's delivery behaviour.

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
