The problem
Critical files are often scattered across user Drives, making compliance and disaster recovery dependent on each user's behaviour. Manual backup is inconsistent and unreliable, especially when staff leave or permissions change unexpectedly.
How it works
- Grant the service account domain-wide delegation with drive scope.
- Impersonate each user in turn to list and read their files and folders.
- Copy or move required files to a designated folder or Shared Drive under a service account-controlled identity.
- Log each operation, including skipped or failed files, for traceability and audit.
- Schedule the backup job to run at the required frequency (e.g., daily or weekly).
What changes
All critical documents are centrally available, even if a user is offboarded or their account is suspended, and backup coverage is auditable.
Questions people ask
Can I use this to back up Shared Drives?
Not directly. Service accounts require explicit membership in each Shared Drive, and impersonation only covers user My Drives unless additional setup is done.
How do I handle large files or folders?
The Drive API paginates lists and may time out on large folders. Always implement paging and retries, and monitor for partial results.
