Back up Shared Drives on a fixed schedule with delegation

Automated backups of Shared Drives via delegated service account keep data recoverable, but require careful handling of API quirks and edge cases.

The problem

Shared Drives house critical documents, but Google Workspace offers no built-in scheduled backup or snapshot. Manual copying is error-prone, and point-in-time recovery is impossible without automation.

How it works

  1. Enumerate Shared Drives and their contents using the Drive API with a delegated service account.
  2. Copy or export documents to a backup location, preserving folder structure and metadata.
  3. Schedule the process to run at regular intervals (e.g., daily or weekly) using external orchestration.
  4. Log file IDs, versions, and timestamps to track what has been backed up.
  5. Implement error handling for rate limits and transient API failures.

What changes

Backups are consistent, automated, and do not rely on user intervention or manual processes.

The trap in this one. Drive API's file listing is eventually consistent: newly added or moved files can be missing from results for up to several minutes, especially after bulk changes. If your backup job runs immediately after a large reorganisation, it may silently miss files that only appear in listings after the next run. This is not a permissions issue or a quota problem — it's a propagation delay in the Drive backend. To avoid silent data gaps, always compare deltas over multiple runs and flag missing files for follow-up.

Questions people ask

Is downloading files always reliable for Shared Drives?

Some file types (e.g., Google Docs, Sheets) require export rather than download, and third-party shortcuts or links may not be retrievable. Always check the MIME type and handle accordingly.

Can deleted files be recovered with this approach?

Only if they were backed up before deletion. The Drive API does not expose deleted items in normal listings, so regular schedule and monitoring are critical.
