The problem

Google Drive usage is not visible in aggregate through the admin console, and per-user reporting is too slow or manual for regular audits. Without automation, overages and anomalies go undetected until thresholds are breached or invoices arrive.

How it works

  1. List all users with the Admin SDK.
  2. Impersonate each user with the service account and query their Drive file list and storage quota via the Drive API.
  3. Fetch usage summaries and activity logs from the Reports API for context.
  4. Aggregate and store the results centrally for analysis or alerting.

What changes

You get a near real-time view of storage and file counts per user, supporting proactive management and accurate cost allocation.

The trap in this one. Drive API file listings are eventually consistent: recently deleted or moved files can appear for hours, leading to stale counts and inflated usage. The Admin Reports API may lag by up to 24 hours, so storage and activity numbers will not match live data. Do not use these reports for urgent incident response or quota enforcement without cross-checking.

How often should the report run?

Daily is typical, as quota and activity data lag behind real-time. More frequent polling risks API quota exhaustion with little accuracy gain.

Does this capture shared drives?

No, impersonation only covers My Drive for each user. To report on shared drives, enumerate them with the Drive API under the service account.
