Push holiday blocks to all organisation calendars

Use domain-wide delegation to create all-day holiday events across every user’s primary calendar, ensuring company holidays are respected in availability.

The problem

Relying on users to subscribe to a shared holiday calendar or manually block time results in inconsistent out-of-office signals. True organisation-wide visibility requires events present on each primary calendar.

How it works

  1. Use the service account to impersonate each user and access their primary calendar.
  2. Create an all-day event for the holiday with 'busy' status and mark it as 'out of office' where supported.
  3. Set the event as non-deletable by attendees to prevent accidental removal.
  4. Log event IDs and affected users for audit and future removal.
  5. Repeat for all users in the domain or target group.

What changes

Every user’s free/busy is blocked for holidays, so scheduling systems and external parties see consistent unavailability.

The trap in this one. The Calendar API’s event creation is eventually consistent—if you immediately read back a calendar after writing, the event may not appear due to propagation lag. This leads to false negatives in post-write verification scripts, especially when bulk writing across large domains. Always allow for a delay before auditing or polling for confirmation.

Questions people ask

Can this be targeted to only some users?

Yes, filter the user list before impersonation. You can use group membership or directory attributes to select who receives the block.

Can users remove or edit these events?

You can set the event as created by an external organiser and use extended properties to discourage edits, but technically users can override or delete unless enforced by policy. Audit regularly.

Want this built?

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
