The problem

Manual attendance tracking is error-prone and time-consuming, especially when events span multiple organisers and calendars. Attendee status often goes unrecorded or is buried in individual calendars, making compliance reporting or follow-up unreliable.

How it works

  1. A delegated service account lists all relevant calendars and fetches event data within a defined window.
  2. For each event, it collects attendee lists and their RSVP status using calendar.readonly.
  3. Attendance records are written into a centralised spreadsheet for reporting and auditing.
  4. Optionally, the system flags non-responders or declines for follow-up.

What changes

Attendance is tracked automatically across all calendars, with up-to-date records available for audits or follow-up, without waiting for organisers to manually reconcile lists.

The trap in this one. The Calendar API does not reflect attendee status changes instantly—there is a propagation delay of several minutes, especially for large events or when many people update at once. If you poll too soon after an event or a major RSVP update, you will miss late changes and produce inaccurate attendance. Always factor in a delay window before extracting final records, and beware of relying on calendar 'updated' timestamps, as they do not always increment for every attendee status change.

Questions people ask

Can this capture attendance for events created outside the main domain?

Only if the service account has calendar.readonly access to those calendars. External calendars or events from outside the domain will not be visible unless explicitly shared.

What about attendees who do not respond to invites?

Their status remains as 'needsAction', which you can flag for follow-up or treat according to your attendance policy.
