Bulk-share calendars across the organisation with delegation

Grant or update calendar sharing permissions for many users at once using a delegated service account, avoiding manual UI operations.

The problem

Manually sharing calendars for hundreds of users is slow, error-prone, and does not scale as staff join, leave, or change teams. Keeping permissions aligned with policy is unmanageable by hand.

How it works

  1. Enumerate target users and their calendars using the Admin SDK and Calendar API.
  2. Impersonate each user with the service account and update ACLs as required.
  3. Batch API calls where possible to reduce quota usage.
  4. Log all changes and retry any failures after a delay.

What changes

Calendar sharing is correct, auditable, and consistent with organisational policy, even as the user base changes.

The trap in this one. The Calendar API's ACL changes can be dropped if made too soon after calendar creation: new calendars may not be immediately available for ACL updates, resulting in silent 404s. In practice, this means some shares simply do not apply unless you add an explicit wait-and-retry backoff for newly created calendars.

Questions people ask

Can I share secondary calendars as well as primary?

Yes, but you need to enumerate each user's full list of calendars and check for both calendar existence and readiness before updating ACLs.

How do I ensure changes are idempotent?

Always fetch existing ACLs before applying updates and only create or modify if the intended permission is not already present.

Want this built?

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
