Enforce standard email signatures for all users
Set and maintain a consistent signature template across the organisation using a delegated service account and the Gmail API.
| Who it is for | IT and compliance teams tasked with branding and legal disclaimers. |

The problem
Manual signature updates are ignored, misapplied or overwritten by users, leading to inconsistent branding and missing disclaimers. Compliance and external perception are both at risk, especially after rebrands or regulatory changes.
How it works
- Build a signature template with placeholders for user-specific fields.
- Fetch user details (e.g. name, title, phone) from Directory or an authoritative source.
- Iterate through all users with a delegated service account.
- Call the Gmail API to set the signature for each user’s primary send-as address.
- Schedule regular re-application to catch manual edits or new joiners.
What changes
Every user’s email signature matches policy, with updates rolled out centrally and automatically.
Questions people ask
Can users still edit their signatures after this runs?
Yes, unless you re-apply regularly. The API does not lock the signature, so user changes persist until the next enforcement cycle.
Does this update signatures in Gmail mobile apps?
No, mobile app signatures are managed separately by end users and are not controlled via the API.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.

Draft replies automatically in a shared inbox
A delegated service account reads an incoming enquiry, drafts a researched reply in the mailbox, and leaves it for a human to approve and send.
Triage and route inbound mail across a domain
Classify every inbound message, label it, and forward the ones that matter to the person who owns them — without touching a single mail rule.
Send mail as a shared alias from automation
Deliver notifications, confirmations and campaign replies from a branded address like support@ or updates@ without a human in the loop.
