Deploy Docs templates across all users’ Drives
Push standard document templates to user Drives so everyone starts from the same version, not their own copy from last year.
| Who it is for | IT admins and operations teams standardising business documents across the company. |
|---|---|
| APIs | Drive API, Docs API |
| Typical scopes | drive, documents |
The problem
Templates drift over time. Users copy old versions, add their own tweaks, and the official version is buried. Emailing links or sharing docs gets ignored or lost.
How it works
- Store the template in a central Drive folder with read access.
- Use a delegated service account to copy the template into each user’s My Drive or a designated folder.
- Optionally, set sharing settings so only the user and IT can see the copy.
- Record deployment metadata to avoid duplicate copies or missed users.
What changes
Every user gets a fresh, official template in their Drive, ready to use, with version control handled centrally.
Questions people ask
Can I update templates after deployment?
No, not in-place. Once copied, each user's file is independent. You'll need to redeploy or notify users to use the new template version.
Can I deploy to Shared Drives?
Yes, but only if the service account and users have sufficient access. Permissions in Shared Drives behave differently—test with a non-admin user before bulk deployment.
Want this built?
This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
