Bulk user onboarding with resource assignment

Automate new user creation, group membership, and calendar resource assignment for onboarding at scale using domain-wide delegation.

The problem

Manual onboarding is slow, error-prone, and doesn't scale. Automated scripts can create users and assign them to groups and resources, but coordination across APIs is tricky and failures often go unnoticed until the user is already blocked.

How it works

  1. Create new users via Admin SDK, capturing the assigned userKey.
  2. Add users to the required groups for access provisioning.
  3. Assign calendar resources (e.g., rooms, equipment) with the Calendar API.
  4. Log every action and cross-reference with the intended onboarding plan.

What changes

New joiners are created, assigned, and resourced in minutes, with a clear audit trail and reduced manual effort.

The trap in this one. The Calendar API can silently accept resource assignments for users that have not yet fully propagated in the Directory API. If you assign a resource immediately after user creation, the booking appears successful in the API response but never actually takes effect, leaving the user without access. Always insert a propagation delay or re-query the user before resource assignment to avoid phantom bookings.

Questions people ask

How long should I wait between user creation and resource assignment?

Propagation can take anywhere from a few seconds to several minutes. Poll the Directory API until the new user appears as active before proceeding.

Can this process be made idempotent?

Yes, but ensure you check both group membership and resource assignment state before retrying. Duplicate assignments are usually harmless for groups, but resource bookings can fail silently if the user is not ready.

Want this built?

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
