Bulk update permissions on shared folders via delegation

Apply consistent sharing changes across many Drive folders, updating access in bulk through a delegated service account.

The problem

Manually updating permissions folder by folder is slow and error-prone, especially when team membership changes or external access needs a fast audit. Inconsistent sharing leaves sensitive data exposed or inaccessible.

How it works

  1. Enumerate the set of target folders using the Drive API with delegated authority.
  2. For each folder, fetch the current permissions and compare to policy.
  3. Apply adds, removals, or role changes as needed.
  4. Log changes and retry any failed updates with exponential backoff.

What changes

Access is updated everywhere in minutes, with a clear record of what changed and no missed folders.

The trap in this one. Drive API permission changes on folders do not always propagate immediately to nested files, especially when removing users; the API returns success, but removed users may retain access for several minutes to hours. Relying on immediate revocation is unsafe for time-sensitive removalsโ€”always verify downstream file permissions if strict lockout is required.

Questions people ask

Does this update permissions on files inside the folders?

Not directly. You must recurse into folder contents and update each file if you need to guarantee removal or addition of access, as permissions can be individually overridden.

How do I avoid rate limits?

Batch requests where possible and implement exponential backoff on 429 errors. For very large updates, throttle your requests and monitor quota usage.

This is a pattern we run in production. We will set up the delegation and build this on top of it โ€” $500 per hour, most of it working the same day.
