Reschedule large numbers of calendar events at once

Move hundreds of events for many users using a delegated service account, handling update limits and propagation delays.

The problem

Manually moving each event is infeasible when a location closes, a team shifts time zones, or a migration needs all meetings moved. Bulk changes are required, but tooling is not provided out of the box.

How it works

  1. Enumerate all affected users and their events by querying the Calendar API with the service account.
  2. Batch update event times or locations using the events.patch endpoint.
  3. Implement retry logic for quota or transient errors.
  4. Track which events have been processed to avoid duplication or missed updates.

What changes

Hundreds or thousands of events can be rescheduled in minutes, with a log of what was changed and when.

The trap in this one. The Calendar API enforces per-user and global rate limits, but also silently drops updates for recurring events if the iCalUID or recurrence rules are not handled precisely. If you patch a recurring series without incrementing the sequence or respecting the original recurrence, the change may not propagate to all attendees or can even revert. Always read, increment, and preserve recurrence and sequence fields, or you will see partial or silent failures.

Questions people ask

How do I avoid hitting API rate limits?

Throttle requests per user and per project, and implement exponential backoff for 429 errors. Google publishes current limits; exceeding them leads to dropped or delayed updates.

What about notifications to attendees?

Set the sendUpdates parameter as needed. Without it, attendees may not be notified of changes, leading to confusion.

This is a pattern we run in production. We will set up the delegation and build this on top of it — $500 per hour, most of it working the same day.
